1. Define exactly what is being purchased
State whether you need a casting body, a machined and coated component, or a complete fitting assembly. List pins, bolts, nuts, washers and retaining parts separately. Include a bill of materials when more than one item is supplied. A quotation for the body alone should not be compared with a quotation for an assembled and tested fitting.
2. Describe the connection before choosing a process
For a clevis, identify the opening, pin diameter, hole fit and relevant centre distances on the drawing. For an eye or link, show the mating clearances and assembly orientation. Mark the dimensions that control interchangeability. If the component connects to an existing assembly, provide its controlled interface drawing or the dimensions authorised for quotation; a model name alone leaves the connection undefined.
3. Separate coating requirements from appearance
A silver-coloured reference photograph does not specify a coating system. State the required finish, applicable specification and any masked or uncoated zones. Identify which dimensions apply before finishing and which apply to the finished component. Ask the quotation to record any interface or coating questions requiring engineering approval.
4. Make acceptance requirements explicit
Provide the material specification and the buyer-approved mechanical acceptance requirements, including the applicable test method and acceptance basis where required. Name the reports and traceability records needed with the delivery. A supplier photograph or a visually similar fitting does not establish a working load or utility approval. Technical suitability remains subject to the actual application and approved requirements.
5. Distinguish a trial from repeat supply
State the sample quantity, first production batch, estimated annual demand and expected call-off sizes separately. Mark a forecast as a forecast. This allows tooling, sampling, production and shipment scope to be discussed without turning estimated demand into an order commitment.
